Job Description:
The Procurement & Materials Officer is responsible for managing the end-to-end procurement process to ensure the timely and cost-effective acquisition of materials, equipment, and supplies that support warehouse inventory and project operations. The role focuses on sourcing qualified suppliers, negotiating commercial terms, processing purchase orders, monitoring deliveries, and maintaining optimal inventory levels in coordination with warehouse, engineering, and project teams.
The ideal candidate has experience procuring construction materials, electrical equipment, industrial supplies, or project-related materials, preferably within the renewable energy, engineering, construction, or infrastructure industries.
Key Responsibilities:
Procurement Operations
  • Manage the end-to-end procurement process, from sourcing suppliers and requesting quotations to purchase order issuance and delivery monitoring.
  • Source and evaluate suppliers based on pricing, quality, delivery performance, and reliability.
  • Negotiate pricing, payment terms, lead times, and commercial agreements to achieve cost-effective purchasing while maintaining quality standards.
  • Prepare and process purchase requests, purchase orders, supplier quotations, and other procurement-related documentation.
  • Monitor the status of purchase orders and coordinate with suppliers to ensure timely delivery of materials and equipment.
  • Build and maintain strong relationships with suppliers, vendors, and service providers.
  • Assist in supplier accreditation, performance evaluation, and vendor database management.
  • Ensure procurement activities comply with company policies, budgets, and purchasing procedures.
Inventory & Materials Planning
  • Coordinate with warehouse personnel to monitor inventory levels and identify replenishment requirements.
  • Review stock movements and consumption trends to support timely purchasing and prevent stock shortages.
  • Plan and procure materials based on operational requirements, project schedules, and inventory forecasts.
  • Ensure critical materials are available to support ongoing engineering, installation, and project activities.
  • Work closely with warehouse teams to resolve inventory discrepancies, damaged goods, or delivery concerns.
  • Monitor supplier lead times and proactively address potential supply risks.
Project & Cross-Functional Coordination
  • Collaborate with Engineering, Project Management, Operations, and Warehouse teams to understand material requirements and procurement priorities.
  • Procure construction materials, electrical equipment, solar components, tools, consumables, and other project-related supplies.
  • Coordinate with logistics providers, freight forwarders, and customs brokers, when applicable, to facilitate timely delivery of imported materials.
  • Verify purchase requirements against approved Bills of Materials (BOM), technical specifications, and project requirements.
  • Provide regular procurement status updates, delivery schedules, and purchasing reports to management.
Process Improvement & Compliance
  • Monitor procurement performance, supplier responsiveness, and purchasing lead times to identify opportunities for improvement.
  • Maintain accurate procurement records, supplier documentation, and purchasing reports.
  • Support cost reduction initiatives through supplier benchmarking, strategic sourcing, and negotiation.
  • Ensure all procurement activities are conducted in accordance with company policies and ethical procurement standards.
Qualifications
  • Bachelor's degree in Supply Chain Management, Business Administration, Industrial Engineering, Logistics, or a related field.
  • At least 3 years of experience in procurement, purchasing, sourcing, or supply chain operations.
  • Experience supporting renewable energy, solar EPC, construction, engineering, electrical, manufacturing, or infrastructure projects is highly preferred.
  • Proven experience procuring construction materials, electrical equipment, industrial supplies, tools, or project-related materials.
  • Knowledge of procurement processes, supplier management, inventory replenishment planning, and purchasing best practices.
  • Experience using ERP, procurement, or inventory management systems (e.g., SAP, Microsoft Dynamics 365, Oracle, NetSuite, or similar) is an advantage.
  • Proficient in Microsoft Office applications, particularly Excel.
  • Strong negotiation, analytical, organizational, and stakeholder management skills.
  • Excellent communication and coordination skills with the ability to work across multiple departments in a fast-paced, project-driven environment.
