Job Overview

We are looking for a Workforce Administrator to support workforce planning, resource coordination, and capacity management across multiple projects and business functions. This role is responsible for maintaining accurate workforce data, monitoring resource utilization, and providing actionable insights that support staffing decisions, project delivery, and operational efficiency.
The ideal candidate has experience in workforce planning or resource management, strong analytical skills, and the ability to collaborate with cross-functional stakeholders in a dynamic environment.

Key Responsibilities

Workforce Planning & Resource Coordination

  • Support workforce planning activities by coordinating approved staffing and capacity plans.
  • Monitor resource allocation across projects and identify utilization gaps, capacity constraints, or staffing risks.
  • Coordinate with delivery teams to ensure resources are aligned with project requirements and business priorities.
  • Provide visibility into workforce capacity, skills availability, and resource readiness to support project staffing decisions.
  • Partner with talent acquisition teams by providing workforce demand and supply data to support hiring and resource planning.


Workforce Data Management

  • Maintain accurate workforce records, including employee availability, skills, certifications, competency levels, and project assignments.
  • Ensure workforce databases are updated and reflect current staffing information.
  • Support the maintenance and continuous improvement of skills inventories and capability libraries.


Workforce Analytics & Reporting

  • Analyze workforce data to identify trends, utilization patterns, skills gaps, and capacity requirements.
  • Generate reports and dashboards that support workforce planning, staffing reviews, and operational decision-making.
  • Monitor workforce productivity metrics and highlight potential risks or improvement opportunities.
  • Analyze project and resource performance data to support workforce optimization initiatives.


Stakeholder Collaboration

  • Work closely with delivery leaders, project managers, business teams, and recruitment teams to support workforce planning activities.
  • Provide workforce insights that help improve resource allocation and operational efficiency.
  • Assist in evaluating staffing requirements based on business demand and forecasted workload.
  • Support other workforce planning and administration activities as assigned.


Qualifications

  • Bachelor's degree in Information Technology, Mathematics, Statistics, Business Administration, or a related field.
  • At least 3–5 years of experience in workforce planning, workforce management, resource planning, or a related role.
  • Experience supporting workforce operations within project-based or shared services environments is preferred.


Required Skills

  • Experience in workforce planning, capacity planning, forecasting, scheduling, or resource management.
  • Familiarity with workforce management tools, reporting platforms, or resource management systems.
  • Strong proficiency in Microsoft Excel or Google Sheets for reporting and data analysis.
  • Understanding of resource allocation, workforce utilization, and capacity planning concepts.
  • Familiarity with skills inventory management, competency tracking, or workforce capability planning.
